SmartSearch Layout

Where do I start?
Access SmartSearch by logging into Insight and clicking the "Elite SmartSearch BETA" link in top menu.  This will open SmartSearch in a new browser tab.

Insight Elite > SmartSearch form will take you to a new search form when you want to run a new search

Help > Contact Client Care will take you to Knowland's support page

My Property Attributes displays your property details we use for scoring so you can quickly reference how we have your property classified

Account Search

To quickly go to a specific Account Details page, use the account name keyword search box located in the top left.  Simply start typing and select the correct account from the drop down.

Saved Searches

Access all of your Saved Searches in the left pane.  Click a Saved Search to run the search or apply it to an Account Details page.

  • Turn specific filters on and off using the check mark icons
  • Pencil icon will open the search form for editing
  • Paper icon clones the Saved Search  PRO TIP: Create a "generic" Saved Search with your deployment so you can reuse it (clone it) to build new Saved Searches.  This will keep you from having to reenter your deployment anytime you want to create a new search.
  • Trash icon deletes the search

Recent Searches

Access your Recent Searches in the left pane below your Saved Searches.  Click a Recent Search to run the search or apply it to an Account Details page.

  • Turn specific filters on and off using the check mark icons
  • Pencil icon will open the search form for editing
  • Disk/Save icon turns your Recent Search into a Saved Search
  • Trash icon deletes the search

Approximate Account Booking Sets dynamically displays how many Accounts will display in your search results.  Watch this number change as you apply filters to instantly see how each filter affects your search

Booking Attribute filters allow you to filter on data within the booking e.g. booking date, booking size, booking name etc.

Property Attribute filters allow you to filter on where the booking took place as well as the property attributes e.g. booking location, location type, chain scale etc.

Account Attribute filters allow you to filter on the account that held the booking e.g. account HQ, market segment/industry, "New to Me" etc.

Clear will clear out all applied filters so you can start over.

Search will run your SmartSearch and it will appear in the left pane under "Recent Searches"

Save & Search will allow you to give your search a name and run the search.  It will appear in the left pane under "Saved Searches"

SmartSearch Filter Basics

Keyword Filters
Each attribute tab contains keyword filters.  You can add multiple keywords by using the + button to save your entry and add a new entry.  Each keyword added is an "OR" search.  To do an "AND" search simply include both keywords in the same entry.

Example: Adding "training" and "annual" separately will search for either training or annual.  Adding "annual training" will search for both annual AND training.

Min/Max Range Filters

Each range filter allows you to enter multiple ranges, include only a minimum value, maximum value or both.  You can add multiple values by using the + button to save your entry and add a new entry.  Each range is an "OR" search.

  • If you want to include bookings with an unknown number then only include a max number
  • If you want to exclude booking with an unknown number then include a min number to exclude zero/unknown

Map Filters

Center Point Map Searches allow you to enter in a location, adjust the Radius and see your results in a map view.  You can add multiple locations by using the + Center Point button to save your entry and add a new entry.  Each location added is an "OR" search.

Address Map Searches allow you to enter in address parts and see your results in a map view.  You can add multiple address parts by using the + Add Address Part button to save your entry and add a new entry.  Each address part added is an "OR" search.  TIP: State searches are 2-letter state codes

Booking Attribute Filters

Filters are associated to the booking level details.

Booking Occurrence / Date Ranges

Easily run quarterly, monthly, weekly or daily date range searches over multiple years.  Each Booking Occurrence added is an “AND” search. You will see a list of all ranges added on the right side under “Search for bookings within these date ranges:"  All ranges all for multiple selections/entries.

Add Year has a default Year range of the last 6 years (including the current year).  Select and unselect the years you want to search

Add Week allows you to select specific weeks of year and/or specific days of the week

Add Month allows you to select specific months of the year

Add Quarter allows you to select specific calendar quarters of the year

Add Range allows you to search specific date ranges you want to search

Booking Name (Post As)

Filter for bookings that contain specific keywords within the booking name.

  • Click the + button to save your entry and add a new entry
  • You can add multiple keywords
  • Each keyword added is an “OR” search
  • TIP: If you add “annual training” as a keyword then you will only get results that include annual AND training in the booking name.  If you add “annual” and add “training” separately then you will get results with “annual” OR “training” in the booking name.

Booking Length

Filter for bookings by the number of days the booking was read.

  • Click the + button to save your entry and add a new entry
  • You can include multiple ranges OR you can simply select “Read Single Day” or “Read Multi Day”
  • Selecting just a Min will provide bookings that we read that number of days or more
  • Selecting just a Max will provide bookings that were read up to that many days
  • Including a Min and Max will only provide bookings that were read within those number of days
  • Selecting “Read Single Day” will provide bookings that were read just one day.  This is the same as entering in a 1 in the Max field
  • Selecting “Read Multi Day” will provide bookings that were read 2 or more days.  This is the same as entering in a 2 in the Min. field

Total Est Attendees

Filter for bookings with an estimated number of attendees.  NOTE: Estimated Attendees for each booking is based on the function name keywords and square footage used.  

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will provide bookings that have that number of estimated attendees or more
  • Selecting just a Max will provide bookings that have zero up to the max number of estimated attendees
  • Including a Min and Max will only provide bookings that have estimated attendees within those ranges
  • TIP: If you want to include bookings with an unknown number then only include a max number
  • TIP: If you don’t want to include booking with an unknown number then include a min number to exclude zero

Total Sq. Ft.

Filters for a bookings total used meeting space in square feet

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will provide bookings that have that amount of total used meeting space or more
  • Selecting just a Max will provide bookings that have zero up to the max number of total used meeting space
  • Including a Min and Max will only provide bookings that have a total used meeting space within those ranges
  • TIP: If you want to include bookings with an unknown number then only include a max number
  • TIP: If you don’t want to include booking with an unknown number then include a min number to exclude zero

Largest Room Used

Filters for a bookings largest meeting room used in square feet

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will provide bookings that have the largest room used or more
  • Selecting just a Max will provide bookings that have zero up to the max number of the largest room used
  • Including a Min and Max will only provide bookings that have the largest room used within those ranges
  • TIP: If you want to include bookings with an unknown number then only include a max number
  • TIP: If you don’t want to include booking with an unknown number then include a min number to exclude zero

Function Name (e.g. dinner, meeting, banquet)

Filters for bookings that contain specific function names like: general session, holiday party or reception

  • This is a keyword search
  • Click the + button to save your entry and add a new entry
  • You can add multiple keywords
  • Each keyword added is an “OR” search
  • TIP: If you add “holiday party” as a keyword then you will only get results that include holiday AND party in the function name.  If you add “holiday” and add “party” separately then you will get results with “holiday” OR “party” in the booking name.

Is Catered

Filters for bookings that include catered functions.  (Note: Catered is determined based on certain function name keywords) 

  • Default is “All Bookings”
  • Select “Catered Bookings” to include bookings that include at least one catered function
  • Select “Non-Catered Bookings to include bookings that have no catered functions

Total Sq. Ft. Catered

Filters for a bookings total used catered meeting space in square feet

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will provide bookings that have that amount of total used catered meeting space or more
  • Selecting just a Max will provide bookings that have zero up to the max number of total used catered meeting space
  • Including a Min and Max will only provide bookings that have a total used catered meeting space within those ranges
  • TIP: If you want to include bookings with an unknown number then only include a max number
  • TIP: If you don’t want to include booking with an unknown number then include a min number to exclude zero

Largest Catered

Filters for a bookings largest catered meeting room used in square feet

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will provide bookings that have the largest catered room used or more
  • Selecting just a Max will provide bookings that have zero up to the max number of the largest catered room used
  • Including a Min and Max will only provide bookings that have the largest catered room used within those ranges
  • TIP: If you want to include bookings with an unknown number then only include a max number
  • TIP: If you don’t want to include booking with an unknown number then include a min number to exclude zero

Verified

Filters for a bookings that include Knowland Verified data obtained by our research team including contact information.

Property Attribute Filters

Filters are associated to the properties the bookings took place at and the attributes associated to those properties.

Property Location

Search properties within a specific geographic location.  You can choose to target properties by entering a map Center Point, selecting Region/Country/Market, Address Parts OR Comp Set.  You can only search by one of these, but can include multiple within the same tab.

  • Center Point
    • Enter an address part and select from the dropdown
    • Adjust the radius (in miles)
    • Then select “+ Add Center Point”
    • Your selected Centerpoint will be added under “Centerpoints:”
    • See properties listed on the right under “Properties:”.  NOTE: the listed properties relate to your location map search and are not yet filtered in relation to your other search criteria
    • Click a Property in the right side list and it will move the map to that selection
    • Map will display all locations added, zoom out to see all
    • Hover over map points to see property name
    • Your Center Point will be represented as a blue map point
  • Market
    • Select Global Region(s)
    • Opens display of associated Country(s)
    • Select Country(s)
    • Opens display of associated Markets
    • Select Market(s)
    • Selections will display on the right side under “Search for bookings held in:”  
  • Address
    • Enter City, State, Zip and/or Country
    • Selecting a Country will populate a dropdown for State, but using the State dropdown is not required, it can be typed in
    • State MUST be entered as a 2 digit code.  Example: enter CA, not California
    • See properties listed on the right under “Properties:”.  NOTE: the listed properties relate to your location map search and are not yet filtered in relation to your other search criteria
    • Map will display all locations added, zoom out to see all
    • Click a Property in the right side list and it will move the map to that selection
    • Hover over map points to see property name
  • Comp Set
    • Single Comp Set selection
    • See Comp Set properties listed on the right under “Properties:”  NOTE: the listed properties relate to your selected comp set and are not yet filtered in relation to your other search criteria
    • Map will display comp set properties, zoom out to see all
    • Hover over map points to see property name
    • Comp Sets are currently still managed in the full version Insight

Property Name

Filters for properties that contain specific keywords

  • This is a keyword search
  • Click the + button to save your entry and add a new entry
  • You can add multiple keywords
  • Each keyword added is an “OR” search

Property Amenities

Search properties that have any of the listed amenities

  • Each amenity select is an “OR” search
  • Example: Show me properties that have a “Restaurant” OR “Spa”, not a “Restaurant” AND a “Spa”.

Total Meeting Space (Sq Ft)

Search properties by their total meeting space square footage.

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will search properties that has at least that much total meeting space or more
  • Selecting just a Max will search for properties that have zero up to the max number of total meeting space
  • Including a Min and Max will only search properties that have meeting space within those ranges
  • TIP: If you want to include properties with an unknown number then only include a max number
  • TIP: If you don’t want to include properties with an unknown number then include a min number to exclude zero

Brand Group & Brand

Search properties within a Brand Group and/or Brand (aka Parent Group aka Affiliation)

  • Within the dropdown you can multi-select both Brand Groups and Brands
  • Multi-select is an “OR” search
  • When hovering over a Brand Group it will display the associated Brands
  • Selecting a Brand Group will auto select all of the associated Brands

Chain Scale

Search for properties based on chain scale (classified by actual average room rates). 

  • Within the dropdown you can multi-select Chain Scale(s)
  • Multi-select is an “OR” search
  • Chain Scale contains “Independents”

Class

Search for properties based on chain scale (classified by actual average room rates). 

  • Within the dropdown you can multi-select Class
  • Multi-select is an “OR” search
  • Class does not contain “Independents”, but instead breaks them out into associated Chain Scales

Location Type

Search for properties based on location type (classified by physical location regardless of amenities/services).

  • Within the dropdown you can multi-select Location Types
  • Multi-select is an “OR” search
  • TIP:  This is a great way to target bookings in other markets classified the same as your market.  For example, if you are a Resort Location Type you can use the filter to see accounts meeting in other Resort markets outside of your own backyard.

Market Category

Search for properties based on similar markets.  Markets are categorized based on size and price point.

  • Within the dropdown you can multi-select Market Categories
  • Multi-select is an “OR” search
  • TIP:  This is a great way to target bookings that are taking place in similar markets to yours especially with helping to determine price point.  For example, if you are are Upscale Airport property in a Tier 3 market like Charleston, SC you can look at what accounts are booking in other Upscale Airport Tier 3 properties that you may have not considered before, like Newark, NJ or Fort-Worth-Arlington, TX.

Sleeping Rooms

Search properties by their total number of sleeping rooms.

  • Click the + button to save your entry and add a new entry
  • You can add multiple ranges
  • Selecting just a Min will search properties that has at least that many total sleeping rooms or more
  • Selecting just a Max will search for properties that have zero up to the max number of total sleeping rooms
  • Including a Min and Max will only search properties that have sleeping rooms within those ranges
  • TIP: If you want to include properties with an unknown number then only include a max number
  • TIP: If you don’t want to include properties with an unknown number then include a min number to exclude zero

Account Attribute Filters

Filters are associated to the accounts who held the event.

Account Location

Search accounts headquartered within a specific geographic location(s)

  • Center Point
    • Enter an address part and select from the dropdown
    • Adjust the radius (in miles)
    • Then select “+ Add Center Point”
    • Your selected Center Point will be added under “Center Points:”
    • You will see the accounts associated to your selection on the right side of the map under “Accounts:”  NOTE: the listed accounts relate to your HQ map search and are not yet filtered in relation to your other search criteria
    • Click an account in the right side list and it will move the map to that selection
    • Zoom out to see your full radius selected and your multiple Center Points if you added more than one
    • Hover over map points to see the account name
    • Your Center Point will be represented as a blue map point
  • Address
    • Enter City, State, Zip and/or Country
    • Selecting a Country will populate a dropdown for State, but using the State dropdown is not required, it can be typed in
    • State MUST be entered as a 2 digit code.  Example: enter CA, not California

Filters for accounts that contain specific keywords in their account name

Market Segment & Industry

Search accounts within specific Market Segments and/or their Industries (aka vertical markets)

  • Multi-select is an “OR” search
  • Click “see all industries” to select or unselect Industries within the Market Segments

Account Owners

Search only accounts that have been assigned to specific Account Owners on the team

  • Dropdown is multi-select
  • Displays all active users on your Knowland Insight account

New to Me

Search accounts that have never been read at your property to target new business.  This filter will remove any account from your search results if we have ever read them at your property.  TIP: Use this filter to target “new” business

Contact Name

Filters for contacts that contain specific keywords in their name

  • This is a keyword search
  • Click the + button to save your entry and add a new entry
  • You can add multiple keywords
  • Each keyword added is an “OR” search
